JAYA123 with Quicken (but not Quickbooks!)


Note: We no longer recommend Quicken because Intuit, Inc. has changed the format on the newest version and will not allow the import of a .qif file anymore. We now recommend Moneydance at www.moneydance.com . It’s better than Quicken, only cost $29.99, and has a try-before-you-buy download. However, if you can get an old version of Quicken, it will work just fine.

Quicken and QB are two different animals. QB is a full-bore accounting system
that is overkill for most businesses. We’ve run our small business on Quicken
for the past 15 years and it does all we need to do. It is basically a
single-entry accounting system…. very much like a checkbook register. It
has wonderful reports and also a simple to use check-writing system. Like many people, we
don’t really have “heads” for accounting… credits and debits, etc. Quicken
is made for “idiots.” We recommend it for everyone… and have for years.

JAYA will take good care of your accounts receivable letting you know who owes
you money and who doesn’t. Quicken is really your accounts payable system… each
time you write a check it goes to a category (insurance, legal, supplies,
etc.) and at the end of the day, month, quarter, year, you know what you
have spent on what. It has great reports…. P&L, Balance Sheet, etc. It’s simply
terrific for the price (and it’s cheap!)

JAYA works well with Quicken but not at all with QB. JAYA allows you to export
a small file of your CASH RECEIPTS broken down into categories such as Amt.
Taxable, Amt not taxable, freight collected, etc. When you get paid (always a
good thing!) you go to the JAYA “Financial” screen and export (i.e. download) the file to
your local machine. You then fire up Quicken and let it import this file and
boom!, you have your “deposits” entered (just like a checkbook.) Nothing to
hand-key enter. Thus, Quicken becomes your financial “back-end” while JAYA is
the front-end to your office (although it’s often called a “back-office”
system.)

We tell people to get the cheapest version of Quicken they can find. You don’t
need the new “deluxe” or “premium” version. Look for one on eBay or at a computer
swap meet, or get one from a friend who is upgrading. We use Quicken99 in
our business and it works just fine. Quicken “new” only costs about $40 and is
often on sale at Staples or Costco, etc. as a “loss leader.”

Get Quicken and use it with JAYA123. With both, you have everything you ever need (we think!) to run a successful and efficient business office. JAYA123 and Quicken works for our business… and thousands of others.
